On logging in go to vendor dashboard, please note atm I’m trying out new template layouts, it’s position may have moved next time you login, and depending on what device you are on
1. From the dashboard, Go to ‘Products’
And click Add Product
There are differences between this and the last system but it’s quite straightforward.
We are using woocommerce as a base, instead of filters woo uses attributes, instead of options is uses variants (set up by attributes). If you sell on etsy, use shopify in another shop then this will be familiar to you, only the ‘look’ of the dashboard will be different, You cannot set a variation/option without setting it’s attribute first
We have preset all the attributes for you, so there is no need to add anymore.
There are also general variations preset within them. If you do need others adding then please lmk, please don’t add further attributes or values without checking, they will be removed.
We have used the ones from the old site to populate so most stuff should be covered
But first ……
For a basic product that needs no options set the product data to simple product (set by default)
Add name, price, images, categories, don’t add tags as we are using attributes. For brand add your company name, I’m slowly adding these so if you aren’t there please lmk and I will add you
When you click on the categories box the list of them should come up, You also need to write in both sets of descriptions boxes. Please untick uncategorised, as otherwise it looks messy, use the actual category you are selling in
Some guidance
Product Name
What do you want to call your item? What would your customer look for to find it? Don’t add any characters or punctuation in the name such as “ / ,? ! – . etc or it will break the website
DO NOT copy and paste any information you may have re a product from another website, this can introduce a virus to the site. The one found in the old site was linked to product descriptions and may have been added by someone doing this. Code from other sites can also cause conflicts with layout, software etc. Write it in manually
If you want to copy text you need to run it through a clean app such as notepad, which will pull out any code
Make each product name unique name, don’t call them all the same. This is needed both for SEO, google penalises repeat none descriptive names, and ease of finding on the system if the code doesn’t work so Alexa Fathers Day Card not card. Please don’t make it longer than 6 words
Description
You need to add this into both the long and short description box
Describe your item. Include as much relevant information as you can. Eg:
What is it?
What is special about it/why should someone buy it?
Who is it for?
What is it made from?
What colours is it?
What are the sizes?
Use words that people might search google to find
If there are options, describe them properly
Description example
so… Alexa Father’s Day Card. This funny Father’s Day card features an Alexa illustration and the phrase “Alexa Send Dad a Father’s Day Card.” Perfect for your technology loving Dad.
If the Product is only available in store then you need to write this in capitals in the start of your description
Product Tags.
We no longer use product tags, we use the attribute system instead to reduce the number of website pages

Once you have filled in general click on the inventory tag
Add in your sku number 3 letters 5 numbers as before, there is no need now for a model number. If you are in both shops you now only need 1 code for both shops, no L or y on the end
Tick the stock management box and enter quantity
Then move onto shipping add weight and dimensions when packed for posting
Ignore linked products for now
Next head to attributes, This bit is really important
Click on the text box and the list will come up, find the one you want and then add attribute
At the very least you need to click on the location one, but you should be using others too to filter
the click on select terms in the values box and the ones in that attribute will come up click on the ones you want
Use as many attributes that you need to filter your product, once you are done click save attribute
Add your long product description to the short product description box
Make sure product status is pending review they will be approved in the shop as previously. You can also save as draft to come to it afterwards. The rest will be done on check-in, as before

For Variations/ aka Options on old site
set product data to variable
proceed as previously until you have added the attributes, you will see a change to the attributes form and need to click used for variations
Then go to the link that says variations. If you haven’t added any attributes, or clicked the box, you will get this, so click on attributes and go back to click
You will now get this
click on add variation, you have better control that way, and the attributes you’ve set will come up as default. Any you don’t want click remove… If you have multiple attributes they will all show as default….. click
on the drop down click the variant you want
If you use the location attribute you can specify which shop has which colour, item etc
then once you have generated the variation say Any… you then click on any location, any clothing etc and the values list comes up click on them and the box below opens up
Then click edit and add in all the details as if it were a single product. You need to tick manage stock, add your option sku, price difference etc. Click save changes
Then send for review as before, or draft if you aren’t finished. Any problems just ask.
Many of you sell the same product just at a different price, so at the very least just use the attribute price for your options, there is no need to make it complicated
If your variation is just the design, there is a design attribute set up you can add your design name to, DO NOT set these up under art. If this becomes unwieldy we may allow you to have your own design name attribute.
If you sell the same design on a printed product there is an attribute set up called print item which has mug, coaster, fridge magnet, tote bag, tee etc in it

Images
Your shop banner image is 625 x300
The image rules apply as before, in terms of amount, size etc. limits are set for uploading if your image is outside of this it won’t upload
Click on main product image, this will take you to your image library. Add the image you want, you do not need to duplicate it in the other image box, only use one image unless you are using variations, and then it’s a swatch sheet please. Please just add one for now
Please note images MUST to be square and set at 550×550 pixels before uploading, or they will be too big for the website and POS. Save the name as the product-title.jpg * don’t leave gaps between the words use a – amend product title to the title of the product it’s for
If you have rectangular images they will lay sideways, so please make sure they are square.
Again if you have the same design on a number of products you don’t need for example a4 image, card image, a3 image etc, you just need one image of the design and use it across all products. Your image folder shouldn’t be more than 1mb and picture size shouldn’t be more than 50kb. You must remove images once the product has sold if items are one offs
To add an image, click on the image box this comes up, click select files and upload the image you want
if your image is too big you will get this, or similar
Once uploaded you will see this, fill in to match your product title, description etc and then add to your product
click send for review, or draft if you aren’t finished
